1. About us
Pink Soup Golf is a trading name of UAB Pejote, company code 305300481, registered at Vilniaus g. 25-6, LT-44284 Kaunas, Republic of Lithuania ("we", "us", "our").
These terms govern the provision of our corporate golf event planning and management services. By booking an event with us, you agree to these terms.
2. Services
We provide corporate golf event planning and management services, including but not limited to: course bookings, tournament organisation, catering arrangements, golf coaching, equipment rental, branding, transport, accommodation bookings, and related travel logistics.
The specific scope of services for your event will be set out in a written proposal, which forms part of these terms once accepted by you and confirmed by us.
3. Booking and confirmation
To book an event, you must:
- Accept our written proposal (by email or through our website).
- Pay the deposit specified in the proposal (typically 30% of the total cost).
Your booking is confirmed once we've received the deposit and sent you a written confirmation. Until that point, dates and availability are provisional and not guaranteed.
4. Payment terms
- Deposit: 30% of the total event cost, due upon booking confirmation.
- Balance: The remaining 70% is due no later than 14 days before the event date.
- Payment methods: Bank transfer (EUR) and major credit cards.
- Currency: All prices are quoted in euros (EUR) unless otherwise stated.
- Late payment: If the balance isn't received by the due date, we reserve the right to treat the booking as cancelled, in which case our cancellation terms apply.
Prices in the proposal are valid for 14 days from the proposal date. After that, we may need to adjust due to changes in supplier costs or availability.
5. Changes to your booking
We understand plans change. You can request changes to your booking (dates, group size, services) and we'll do our best to accommodate them. Changes requested more than 14 days before the event are generally free of charge, subject to availability and any supplier cost differences.
Changes within 14 days of the event may incur additional costs if suppliers charge us penalties for amendments. We'll tell you about any extra costs before proceeding.
6. Cancellation by you
If you need to cancel, let us know in writing (email is fine). Refunds are calculated based on when we receive notice:
- More than 30 days before the event: Full refund minus any non-recoverable third-party deposits we've already paid on your behalf.
- 14-30 days before: 50% refund of the total cost.
- Less than 14 days before: No refund. However, we'll try to reschedule to a mutually agreeable date if possible.
If we can recover costs from our suppliers, we'll pass those savings on to you. We won't profit from a cancellation.
7. Cancellation by us
We may cancel your event if:
- The course is rendered unplayable due to weather or course conditions.
- A force majeure event occurs (see section 10).
- You fail to pay the balance by the due date.
If we cancel for reasons within our control, you'll receive a full refund. If the course is unplayable due to weather, we'll work with you to reschedule at no extra cost.
8. Liability
We take our responsibility seriously, but there are limits to what we can control:
- Our total liability for any claim arising from our services is limited to the total amount you've paid us for that specific event.
- We're not liable for indirect or consequential losses (such as lost revenue, lost contracts, or reputational damage).
- We're not liable for any injury, loss, or damage that occurs during your event except where caused by our negligence.
- Golf is an outdoor sport. We can't guarantee specific weather conditions.
- We act as an intermediary for third-party services (hotels, airlines, restaurants). We're not liable for their performance, though we'll do everything we can to resolve any issues.
Nothing in these terms limits our liability for death or personal injury caused by our negligence, or any other liability that can't be excluded by law.
9. Insurance
We strongly recommend that all participants have appropriate travel and sports insurance. Golf involves physical activity and the use of equipment that can cause injury. We don't provide participant insurance, and the golf club's insurance covers the facility, not your guests.
10. Force majeure
Neither party will be liable for failure to perform obligations due to events beyond reasonable control, including but not limited to: natural disasters, pandemics, government restrictions, strikes, civil unrest, severe weather, or closure of airports or transport routes.
If a force majeure event prevents your event, we'll work with you to reschedule. If rescheduling isn't possible, we'll refund all amounts paid minus any non-recoverable costs already incurred.
11. Conduct
All participants are expected to follow the golf club's rules and dress code. The club and our team reserve the right to ask anyone to leave who is behaving dangerously, aggressively, or disruptively. No refund will be given in such cases.
12. Intellectual property
We may take photos or videos during your event for our marketing purposes. If you'd prefer we don't, just let us know before the event. Any branding materials we create for your event (scoreboards, banners, etc.) remain your property once paid for.
13. Data protection
We handle your personal data in line with our privacy policy and applicable data protection laws, including the General Data Protection Regulation (GDPR). Guest lists and contact details shared with us for event planning are used solely for that purpose and deleted after the retention period.
14. Governing law and disputes
These terms are governed by the laws of the Republic of Lithuania. Any disputes will first be addressed through good-faith negotiation. If that doesn't resolve things, disputes will be subject to the jurisdiction of the courts of the Republic of Lithuania.
For EU consumers, you may also use the European Commission's Online Dispute Resolution platform at ec.europa.eu/odr.
15. Entire agreement
These terms, together with the accepted proposal and booking confirmation, represent the entire agreement between you and us. Any changes must be agreed in writing.
